I. Customer Profile

Founded over 40 years ago, XX International School is a foreign language school certified by the Western Association of Schools and Colleges with official registration in China. There are currently two campuses offering complete programs from kindergarten to primary and high schools.

II. Background and Status Quo

Currently with 25 low to medium-end all-in-one printers of various brands; each of the two campuses has one printing room with three high-speed printers respectively, printing approximately 300,000 pages monthly for a total of 2,000 faculty member and students. 99% of user computers are installed with MAC system and iPad mobile printing functions. The current printing system is insufficient for customer’s need for management with obsolete hardware and extra downtime of servers, hence requiring improvement and optimization. Without smart quota distribution and management, student enrolment and continuation in the beginning of each semester creates heavy workload for IT operation and maintenance. 

III. Customer Vision

Equipment integration of the two campuses, replacement of obsolete equipment, centralized roaming printing management by swiping campus card, access control, equipment status monitoring and flexible quota management, full support for MAC system and iPad mobile devices and support for scanning to external enterprise mailbox, etc.

IV. Solutions

A solution tailored for the needs of the foreign language school is developed based on on-site observation, which, on top of general functions, features flexible and smart quota management based on different roles of teacher and student compatible with MAC and iPad printing in a user-friendly way. A complete success in meeting customer’s demands. 

1. User Verification

AD synchronization allowing for custom synchronous field setting for full synchronization. Smart import of campus card number for newly enrolled students. No card binding is necessary for user, who, once authorized by HR, may directly use printer by swiping the card.

2. Equipment Operation and Maintenance

Centralized management of all equipment status with active notification of alert messages to enhance troubleshooting efficiency.

3. Quota Management

Teachers: distribution of initial quota based on their functions, with smart customized resetting in the beginning of every semester

Students: distribution of initial quota based on their classes, with smart customized resetting in the beginning of every semester

Once quota management mechanism is set in the beginning, automatic distribution of initial quota will be enabled in AD synchronization

During the semester, user whose quota has been used up may apply for a manually distributed provisory quota, and the quota will be automatically reset in the following semester

4. MAC and Mobile Devices

Smooth compatibility with MAC system for printing by swiping the campus card, enterprise-level mobile printing solutions provided

5. Cost Control

Maximizing the utilization of existing facilities through printing equipment integration and elimination of obsolete devices

Directed output is set for high-speed printers in the printing room to control students’ access

Powerful quota management function enabled to reduce waste
